Consultant Expert – SAP REFX

Objective
The primary objectives of the Consultant Expert in SAP REFX are to:
- Provide expert supervision and guidance to the SAP Implementation Partner (IP) during the SAP REFX implementation.
- Ensure a seamless migration of lease contract data from NAKISA to SAP REFX.
- Optimize lease management, space management, and real estate portfolio management processes.
- Ensure compliance with IFRS 16 for lease-in and lease-out contracts.
- Enhance integration with SAP Finance and other related modules to streamline business operations.
Scope of Services
The Consultant Expert in SAP REFX will be responsible for providing expertise in the following areas:
1. Project Planning and Initiation
- Collaborate with the SAP Implementation Partner to develop a detailed project plan, outlining scope, objectives, deliverables, timelines, and resource requirements.
- Define project milestones and establish key performance indicators (KPIs) to measure project success.
2. SAP Solution Design
- Implement SAP solutions using SAP best practices for optimal performance and efficiency.
3. Lease Management
- Implement and optimize lease-in (IFRS 16) and lease-out (sublease) processes.
- Support multiple payment plans (monthly, quarterly, annual) and various rent types (basic rent, service charges, etc.).
- Automate contract approvals, renewals, early terminations, and notifications.
- Integrate lease deduction mechanisms with employee salary processing for internal leasing.
- Implement grace period management and lease exit assessment.
- Ensure IFRS 16 compliance with automatic reassessments, depreciation postings, and financial reporting.
4. Real Estate Portfolio Management
- Maintain a record of all real estate properties (buildings, units, offices, land, etc.).
- Manage occupancy statuses (available, blocked, reserved, occupied, sold, etc.).
- Define pricing and cost structures for lease units, including service fees and security deposits.
- Integrate with SAP DMS for document management.
5. Real Estate Accounting & Financial Integration
- Automate cost and revenue allocation to cost centers and profit centers.
- Ensure seamless integration with SAP FICO for accounts payable/receivable and financial reporting.
- Optimize contract termination balance processing.
- Implement real estate depreciation, balance tracking, and security deposit management.
6. Migration from NAKISA to SAP REFX
- Conduct a thorough analysis of existing lease contracts stored in NAKISA Lease Administration.
- Develop a structured data migration strategy.
- Extract, transform, and load lease contract data from NAKISA to SAP REFX.
- Validate migrated contracts to ensure financial accuracy.
- Conduct User Acceptance Testing (UAT) with key stakeholders to verify contract integrity.
- Provide post-migration support and user training on SAP REFX functionalities.
7. Reporting & Dashboards
Implement SAP REFX reports and SAP Analytics Cloud (SAC) dashboards for:
- Lease contracts and expiration alerts.
- Revenue and security deposit tracking.
- Space utilization and cost allocation.
- IFRS 16 financial reports.
8. Training & Knowledge Transfer
- Provide comprehensive user training on SAP REFX functionalities.
- Deliver technical documentation and best practices for ongoing system maintenance.
